community members in one system

Since migrating off NetCommunity in 2023, St. Michael's College School (SMCS) has spent 2.5 years building one system for its entire community: alumni, parents, past parents, staff, friends, and businesses. In its busiest years, the school runs 15+ events, all synced natively with Raiser's Edge NXT.
"We migrated from NetCommunity to Almabase in 2023, and we're really comfortable now. It took some time to get there, but we're really happy: we've got six dynamic lists instead of constant list-building delays. We run a large variety of events each year, and we're bringing more of them onto Almabase, which includes ticketing, registrations, and photo galleries, all in one place." – Kimberly Bailey, Director of Advancement, St. Michael's College School
For the first time, SMCS ran ticket sales, table purchases, and sponsorships together on Almabase for its 10th Order of St. Michael induction ceremony, marking the school's 75th anniversary at its current campus. More than 500 guests attended, and the same three-person team ran the entire night without manually reconciling a single list or spreadsheet.
Staff worked directly with Almabase's team to make sure a one-shot event with no room for a do-over went live correctly on the first try. Guests got a well-run night, and the team spent it hosting instead of doing busywork behind the scenes.

SMCS runs a large variety of events, from one-day come-and-go events like homecoming to tournaments and constituent-specific events. One event module handles every format without staff switching tools, so setting up a new event takes minutes instead of learning a new system. That kind of ease is what lets a three-person team support large-scale events multiple times a year and still do their best work instead of getting buried in logistics.

SMCS built six dynamic lists synced directly from Raiser's Edge NXT, covering alumni, staff, parents, community, Board of Directors, and Foundation Board. Adding a new parent constituent code this year now feeds a standing parent list automatically, work that used to mean touching thousands of records manually.

Before choosing Almabase, Kimberly knew she needed a platform built for her whole community, not just alumni. Getting there meant asking a vendor to take on a multi-year customization effort.
"The platform would need to take the time and effort to make our vision happen. I was thankful Almabase was willing to take the journey with us." – Kimberly Bailey, Director of Advancement, St. Michael's College School
With dynamic lists doing the segmentation work and one event module covering every format SMCS runs, Kimberly's three-person advancement team spends less time rebuilding lists and chasing spreadsheets, and more time on the events themselves. A capital campaign is on the horizon within the next five years.
The right platform does the work of tying the pieces together, dynamic lists and one event module, so no one has to manage them as separate problems. That's the gap a platform like Almabase fills for a team like Kimberly's.
"There's value to having someone at the organization dedicated to the Almabase setup. You need someone who can see the big picture and know how the smaller pieces fit into it, rather than treating them as separates. That's what helps with our events, especially going into a capital campaign, when you can see who attended what and use that to reach out." – Kimberly Bailey, Director of Advancement, St. Michael's College School
