duplicate constituent records

Villanova Prep keeps most of its fundraising on RE NXT forms. For its two month-long campaigns, Season of Giving in December and Month of Giving in June, it turns to Almabase. Month of Giving 2026 beat its $300,000 goal by 47%, raising $442,436 from nearly 200 gifts.
"There's simply no comparison between our old giving page and Almabase. It's more attractive, it has everything donors need to see, and it makes them want to give. The sync integrates well too: it doesn't duplicate, and it updates automatically every night. If someone makes a typo in Almabase, it never touches our records in RE." – Stella Day, Associate Director of Development, Villanova Preparatory School

There used to be hours of list cleanup baked into every campaign. Now donors who unsubscribe from one email don't disappear from every list, and RE NXT stays in sync automatically overnight, with no manual exports and no re-uploading fresh lists before every send.
That frees up Stella and Tessa, who ran the launch themselves, to spend each campaign on fundraising, not chasing down bad data.
Under RE NXT, a bad entry on a donation form could quietly corrupt a donor's record in RE. On Almabase, gifts from every source land in the same screen for batching, and updates made in RE flow into Almabase overnight. The reverse never happens automatically, so a typo on a donation form can't touch the RE record. The team hasn't seen a single duplicate constituent record from their Almabase campaigns.
"Even our own RE donation forms duplicated constituent records all the time, that was from RE NXT itself, and it was a bigger problem for us. Since we moved onto Almabase, we haven't dealt with a single duplicate constituent record." – Tessa Hottinger, Associate Director of Development, Villanova Preparatory School
Donors can divide a single gift across the areas they care about, such as campus ministry or faculty enrichment.
"Everything made it pretty easy, especially when they wanted to split gifts. I think we actually made it kind of too easy. Some people are just like $10 here or $5 there." – Tessa Hottinger
The team runs two month-long campaigns a year, timed to fiscal year-end in June and calendar year-end in December, when donors are most ready to give. Each campaign has also gotten faster to build: this year's setup took less time than the last, since the team duplicates the prior year's work instead of starting from scratch.
Stella and Tessa know they aren't using Almabase to its full capability yet. Their giving pages already use thermometers and countdown clocks to show progress as gifts come in.
Class-participation challenges are next, pending sign-off from leadership. The team ran one in a past campaign, tracking which class had the highest participation, including parents. Donors could see where their class stood, and the team found it motivating and fun.
Texting was added for the first time this cycle: a 24-hour and a 6-hour reminder on the campaign's last day. It was a small first run, and the team plans to use it more.
